ModusOp ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our project management platform and related services.
By using ModusOp, you agree to the collection and use of information in accordance with this policy.
Information We Collect
Personal Information
We may collect personal information that you voluntarily provide when using our services, including:
- Name and email address
- Company or organization name
- Billing information and payment details
- Profile information and preferences
- Communications you send to us
Usage Information
We automatically collect certain information when you use our platform:
- Device and browser information
- IP address and location data
- Usage patterns and feature interactions
- Log data and analytics
Third-Party Integrations
When you connect third-party services (such as Google Workspace, Xero, or other providers), we may access information from those services as authorized by you. This data is used solely to provide the integration functionality you requested. The "Google Services and Gmail Data" section below describes our handling of Google data in detail.
Google Services and Gmail Data
When you connect a Google Workspace or personal Google account to ModusOp, you authorise us to access specific Google services on your behalf. This section describes what we access, what we do with it, and — importantly — what we do not.
Permissions we request
Depending on the features you enable, ModusOp may request the following Google permissions:
- Gmail — to read messages and metadata for the triage view, modify message labels (for example, marking a message as read or moving it to your Gmail Trash when you action it in ModusOp), and send messages on your behalf when you compose a reply or forward.
- Google Calendar — to create, view, and manage events when you schedule meetings, bookings, or call-backs through ModusOp.
- Google Drive — to view and attach files when you choose to add them to a project, task, or client record.
- Profile email — to identify which Google account is connected.
How we handle your email content
ModusOp does not permanently store the content of your emails. Email bodies are fetched from Gmail on-demand when you open a message in the triage view, and held in a short-lived cache (typically up to 1 hour) so the interface remains responsive. We retain only metadata about the actions you take in ModusOp — such as the sender, subject, date, and the action type (dismissed, replied, converted to a task) — for audit, learning, and reporting purposes. Gmail remains the system of record for your email at all times.
ModusOp never permanently deletes messages from your Gmail account. The "Trash" action in ModusOp moves messages to your Gmail Trash folder, where they remain recoverable for 30 days under Google's standard retention. We do not request the permission to permanently delete email.
Limited Use of Google User Data
ModusOp's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We use Google user data only to provide and improve the user-facing features within ModusOp that you have explicitly enabled.
- We do not sell, transfer, or share your Google user data with third parties for advertising, marketing, or any purpose unrelated to delivering the ModusOp service.
- We do not use your Google user data to train or improve generalised artificial intelligence or machine-learning models.
- We do not allow humans to read your Google user data except: (a) with your explicit consent; (b) where strictly necessary for security investigations, abuse prevention, or to comply with applicable law; or (c) where the data has been aggregated and anonymised for internal operations and analysis.
You can disconnect any Google account from ModusOp at any time via your account settings, or by visiting your Google Account permissions page and removing ModusOp's access. Once disconnected, ModusOp stops accessing your Google data immediately and any cached email content is purged within 1 hour.
How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our services
- Process transactions and send related information
- Send you technical notices, updates, and support messages
- Respond to your comments, questions, and requests
- Monitor and analyze trends, usage, and activities
- Detect, investigate, and prevent fraudulent or unauthorized activity
- Personalize and improve your experience
Data Security
We implement appropriate technical and organizational measures to protect your personal information, including:
- Encryption of data in transit and at rest
- Regular security assessments and audits
- Access controls and authentication measures
- Secure data centers with physical security measures
Data Retention
We retain your personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. When you delete your account, we will delete or anonymize your personal information within 30 days, except where we are required to retain it for legal purposes.

Our service may contain links to third-party websites or services that are not owned or controlled by ModusOp. We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third-party websites or services.
Changes to This Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. You are advised to review this Privacy Policy periodically for any changes.
